EventDesk Technologies LLP ("EventDesk", "we", "us", "our") provides event registration, ticketing, check-in, badge printing and attendee communication tools for event organisers, venues, PCOs and agencies ("Organisers"). This Privacy Policy explains how we collect, use, and protect personal data when Organisers and their attendees use our platform.

2. Information we collect

Depending on how EventDesk is used, we may collect:

• Attendee information: name, email address, phone/WhatsApp number, and any custom fields an Organiser adds to a registration form.
• Organiser account information: name, company, email, phone number, and billing details.
• Event data: ticket types, registrations, check-in timestamps, session attendance, and hospitality bookings.
• Payment information: transactions are processed by our payment partners (Razorpay and HDFC SmartPay). EventDesk does not store full card numbers, CVVs, or bank account credentials — these are handled directly by our payment processors under their own security standards.
• Technical data: IP address, browser type, and usage data collected through cookies and similar technologies on our websites and dashboards.

3. How we use this information

• To operate registration, ticketing, check-in, badge printing, and hospitality features on behalf of Organisers.
• To send tickets, reminders, and event updates via email and WhatsApp.
• To process payments and prevent fraud.
• To provide customer support to Organisers and, where relevant, their attendees.
• To improve and maintain the security of our platform.

4. WhatsApp communications

Where an Organiser enables WhatsApp-based ticketing or reminders, EventDesk sends messages through the WhatsApp Business Platform using the phone number an attendee provides during registration. Attendees can opt out of non-essential messages at any time by replying to the conversation or contacting the Organiser directly.

5. Payment processing

All card and bank-based payments on EventDesk are processed by Razorpay and/or HDFC SmartPay. Their own privacy and security policies govern how payment credentials are handled. EventDesk receives confirmation of successful payment and a reference ID, not full payment credentials.

6. How we share information

We do not sell personal data. We share information only:

• With the Organiser running the event an attendee has registered for (they own the attendee relationship).
• With sponsors, but only the specific fields an Organiser has configured to share, and only where attendees have been informed.
• With our payment, hosting, and infrastructure providers, solely to operate the service.
• Where required by law, regulation, or valid legal process.

7. Data retention

We retain attendee and event data for as long as an Organiser's account is active, plus a reasonable period afterward for legal, accounting, and dispute-resolution purposes. Organisers can request deletion of their event data by contacting us.

8. Your rights

Depending on your location, you may have the right to access, correct, or request deletion of your personal data, and to object to certain processing. To exercise these rights, contact us using the details below. Attendees should also feel free to contact the Organiser of the event they registered for directly.

9. Cookies

Our marketing website and dashboard use cookies for essential functionality (such as staying logged in) and to understand how our site is used. You can control cookies through your browser settings.

10. Children's privacy

EventDesk is not directed at children, and we do not knowingly collect personal data from children under the age of 18 without appropriate parental or guardian consent as required by applicable law.

11. Changes to this policy

We may update this Privacy Policy from time to time. Material changes will be reflected by an updated "Last updated" date at the top of this page.
